Essential Functions & Responsibilities

Compliance & Administrative Coordinator  
As a Compliance & Administrative Coordinator you will be responsible for supporting regulatory compliance, financial administration, and facility management, ensuring adherence to federal, state, and local compliance requirements while maintaining efficient administrative, financial, and operational processes at an Arcwood location providing field and technical environmental services.

  • Prioritizes health and safety by adhering to policies, processes, and maintaining safe practices at all times
  • Manages transportation-related permits, licenses, and registrations across federal, state, and local jurisdictions
  • Serves as liaison with insurance providers, ensuring appropriate coverage and documentation for transportation and operational activities
  • Oversees compliance interactions with regulatory portals, including:
    • NYC regulatory portals
    • New York State and Port Authority systems
    • Federal acceptance and compliance portals
  • Administers New Jersey CPCN (Certificate of Public Convenience and Necessity) requirements
  • Prepares and submits transporter reports in accordance with regulatory standards
  • Monitors and manages the LENS (License Event Notification Service) driver monitoring program to ensure driver compliance
  • Supports field services through accurate and timely invoicing
  • Reviews and supports accounts payable and accounts receivable processes for accuracy and compliance
  • Assists in the timekeeping process for services payroll to ensure compliance and reporting accuracy
  • Assists with MMS2 system activities and related operational processes
  • Participates in and contributes to team meetings to ensure operational alignment and issue resolution.
  • Provides general administrative and operational support, including telephone management and communications
  • Monitors and manages incoming communications, including website inquiries, mail, and personnel-related items
  • Supports internal coordination of personnel activities and administrative workflows
  • Maintains organized documentation and records across compliance, financial, and operational areas
  • Oversees management of building and grounds, ensuring a safe, compliant, and well-maintained work environment
  • Coordinates maintenance activities and vendor services as needed
  • Takes on additional duties as assigned to support the team and organization

Education

- High-school diploma or equivalent (required)
- Post-secondary experience in business, logistics or related field (preferred)

Experience

  • 3+ years of relevant work experience in an office support role (required); experience within a billing function (preferred)
  • Previous experience working with regulatory agencies and compliance systems (preferred)
