Essential Functions & Responsibilities

Senior Talent Administrator
The Senior Talent Administrator will manage the interviewing, logistics, compliance reporting, and applicant tracking best practices to effectively support business objectives as Arcwood continues to grow.

This role will exemplify the talent brand for Arcwood and set the stage for a best in class candidate and new hire experience.  They will be an ambassador for candidates interviewing both onsite and virtually, as well as serve as a subject matter expert for Arcwood’s Applicant Tracking System (iCIMs). Successful candidates will have a deep understanding of ATS functionality and experience in data integrity, compliance and system optimization.

 

Location: This position is based in our Indianapolis corporate office, we offer a hybrid schedule with 4 days in the office and 1 day remote. 

 

Essential Functions & Requirements:

  • Prioritizes health and safety by adhering to policies, processes, and maintaining safe practices at all times
  • Manages virtual or onsite interviews between candidates and hiring managers; manages calendars and ensures timely communication with all parties including calendar invitations and required arrival information
  • Serves as a point of contact for candidates during the interview process
  • Interacts with C-Suite and Senior level executives during the interview process
  • Assists Talent Acquisition team with posting job openings on various job boards and career sites
  • Conducts initial resume screening and sourcing to support Talent Acquisition Specialist/Partner as needed
  • Manages start dates and facilitates the flow of candidates to post-offer screening and onboarding
  • Manages and maintains the iCIMS Applicant Tracking System (ATS), including user permissions, workflows, requisition templates, and integrations
  • Serve as a point of contact for troubleshooting iCIMS issues and liaising with vendor support
  • Own and continuously improve the candidate experience by monitoring key metrics (time-to-schedule, candidate satisfaction, others?) and implementing process enhancements
  • Identify opportunities to streamline recruiting operations and standardize best practices across locations
  • Serve as a subject matter expert and advisor to hiring managers on interview process efficiency and system usage
  • Ensure compliance with EEO/OFCCP requirements and maintain audit-ready documentation
  • Takes on additional duties as assigned to support the team and organization

Education

- High school diploma or equivalent (required)
- Bachelor’s degree in human resources, business or related field (preferred)

Experience

  • 5+ years of experience in HR, administration and/or recruiting (required)
  • Previous experience working with an Applicant Tracking System and talent acquisition tools/job boards (required)
  • Knowledge of and experience working with affirmative action documentation and applicable data reporting (preferred)
